How it works

From your truck to a signed report

See exactly how a job moves through CrewLog — log the day by voice, write change orders, track your crew's hours, and send a clean, client-ready report, all from one place.

Step by step

From setup to a fully tracked job

A complete walkthrough — from creating your first job and inviting your crew, to logging the day, writing change orders, tracking your crew's hours, and sending a client-ready report whenever you need one.

Phase 1

Set up your job

Step 01

Create your job

Add a new job with the job name, address, client info, and a brief description. This becomes the hub for everything related to that job — every report, photo, drawing, document, change order, and update lives here.

  • Job name, address, and description
  • Client name and email
  • Save contacts — architects, inspectors, GCs, clients — in one place, ready to attach or export
Step 02

Build your team

Invite the people who need access and assign roles. Admins manage settings, members log the work, viewers can see progress — and you can even restrict a member to only the jobs they’re assigned to.

  • Invite by email with role assignment
  • Owner, Admin, Member, and Viewer roles
  • Restrict members to specific jobs
  • Everyone sees the same data in real time
Phase 2

Capture the day on site

Step 03

Run your morning safety talk

Start the day with a toolbox talk right in the app. Pick from a library of 30+ standard topics, check off the hazards on site, and sign off your crew. It is documented and on file — exactly what you need if WCB, OSHA, or your insurance ever asks.

  • 30+ built-in toolbox talk topics with talking points
  • Log site hazards and crew sign-off
  • Every talk saved to the job record
Step 04

Log the day by voice or text

At the end of the day (or during), open CrewLog and say or type what happened — work completed, crew on site, materials, weather, issues. Two minutes of talking is enough.

  • Type notes or record a voice memo (AI transcription)
  • Add crew count — and the weather is logged automatically
  • Works offline — saves on your device and syncs when you’re back on signal
  • Works on your phone, tablet, or computer
Step 05

Attach site photos

Snap photos of completed work, deliveries, or site conditions. They attach to the day with a timestamp so you have a complete visual record — and drop straight into the report or the client email.

  • Upload from your camera roll, captioned by job
  • Mark photos up right in the app — draw arrows, circle the problem, add a note
  • Every photo timestamped and stored with the job
  • Browse the full photo gallery any time
Step 06

AI writes the report

Hit generate and the AI turns your rough notes — even spoken shorthand — into a structured, professional daily report in real construction language, and automatically flags delays, deliveries, and possible change orders.

  • Converts voice and rough text into a polished report
  • Organized by section, with delays, deliveries, and change orders flagged
  • Spots design conflicts you can turn into tracked RFIs in one tap
  • Review and edit before you send
Phase 3

Deliver work & get paid

Step 07

Send it to your clients

One tap emails the report to your client, architect, or inspector — under your own logo and company name on Pro. Add custom recipients on the fly, or export any report or full job history as a PDF on Pro.

  • Send to saved contacts or add new ones
  • Branded with your logo and signaturePro
  • Export reports or a full job history as a PDFPro
Step 08

Create change orders that get signed

Talk through a change, add your cost breakdown and margin, and the AI writes a clean change order under your logo — with your drawn signature already on it. Your client taps the link in the email and signs right on their phone — no login, no printing — and CrewLog tracks each one from sent to signed, flagging anything overdue past 30 days.

  • AI-written from your cost breakdown, margin, and a quick voice note
  • Your logo, company name, and signature built in
  • Tap-to-sign for your client — or upload a signed copy yourself
  • Filter by Uncompleted, Overdue, and CompletedCrew and Pro
Step 09

Track your crew’s hours

Your crew clocks their hours for the week and submits. You set each person’s wage and an optional overtime rule once, and CrewLog does the payroll math for you — regular and overtime hours, totals, and pay in one clean sheet, ready to approve.

  • Members clock daily hours and submit the week
  • Set wages + flexible overtime — any multiplier, a second tier (e.g. 1.5× after 40, 2× after 50), or a weekend rate
  • Automatic payroll math and weekly totalsCrew and Pro
  • Optional two-factor and biometric sign-in keep pay data protected
Phase 4

Keep everything in one place

Step 10

Track everything in one place

Every report, photo, drawing, document, change order, RFI, and safety talk is archived by job and date — pull up the full history of any job in seconds. Upload your plans and job documents, assign tasks with due dates, log material deliveries, and see it all on one shared calendar, a live field map, and a dedicated task board.

  • Full archive by job and date
  • Upload plans & drawings (up to 1 GB each), linked to the job
  • Store job documents — contracts, permits & spec sheets, filed by job
  • Track RFIs from open to answered — AI-drafted from your daily logs
  • A Tasks tab of its own — assign work with due dates, filter by job or person, and track what’s overdue
  • See every active job on a live field map — with one-tap driving directions from where you are
  • Shared calendar of reports, change orders, RFIs, safety talks, tasks, and deliveries
Step 11

Know where every job stands

CrewLog turns the data your crew already logs into a live read on each job — a health score that surfaces schedule, cost, and safety risks early, a forecast of where the job actually finishes, and budget-vs-actual with your margin on every job.

  • AI Project Pulse — a live health score with one-tap owner updatesPro
  • AI Job Forecast — a timeline of all your jobs and the manpower each needs, so an overrun (or a week you’re short-handed) shows up in daysPro
  • Job costing — budget vs. actual and margin, from your timesheets, change orders & expenses
  • Snap a receipt and AI logs the amount, vendor, date & category into your costs
  • Anything financial stays owner/admin-only
Step 12

Ask the Construction Assistant

Have a code question, a safety call, or need a quick material price? Set your state or province once, then ask the built-in AI Construction Assistant. It answers like a senior code consultant — by trade and by jurisdiction (US and Canada) — and always points you back to your local authority to confirm.

  • Code, permit, and inspection requirements for your jurisdiction
  • Safety questions, methods, and coordination between trades
  • Ballpark material prices and estimates — included on every plan
