How the AI allowance works
It behaves like the data on a phone plan: one pool a month for the whole account, shown in the app as a single percentage with the date it resets. Nothing is priced per question and there is nothing for you to count — but every plan is metered, Pro included, and we would rather tell you that here than at the moment it stops.

A working month is about 22 days. So Solo’s allowance is around 3× what one person can file, and Crew’s is around 6× what 5 people can.
Typical figures, rounded down, and they all come out of the same pool — spend it on the Assistant and there is less of it for reports. A long day with a lot of dictated notes costs a little more than an average one, which is why the app shows you the exact percentage you have used rather than a countdown.

Recording your voice and turning it into text does not come out of the allowance — that runs on a separate monthly limit of its own. Writing the report from it does.
If you run out anyway
- You can add usage for the month from $10, or move up a plan. Larger top-ups earn a bonus: 10% from $50, 20% from $100, 30% from $200.
- AI pauses. The rest of CrewLog carries on exactly as it was: logging, photos, timesheets, tasks, drawings, client delivery.
- The app tells you the date the allowance resets, rather than leaving you to work it out.
- Anything you add never expires, and the monthly allowance is always spent first.
- The owner can split the pool across the team, so one person cannot spend the month on their own.
You are never charged automatically for going over. Extra usage is something you choose to buy, or you wait for the reset.

What those numbers actually mean
- “Active jobs” means jobs you have not marked complete. Finishing one frees the slot, so the 5- and 10-job caps are a limit on how much runs at once, not on how much you do in a year.
- The people count includes you. Crew’s 5 seats are you plus 4 invites, and an invite holds its seat from the moment you send it.
- The AI allowance is one pool for the whole account, on every plan including Pro — there is no unlimited tier. The change-order and RFI counts are separate caps sitting on top of it: every change order is drafted by the AI, so that number is simply how many you can raise in a month, while an RFI you write out yourself is not counted at all.
- Pro’s unlimited seats carry one backstop, at 200, so a script cannot open ten thousand invites. If you genuinely need more than 200 people, email support and we will sort it out.
- Storage covers photos, drawings and documents together. Reports, change orders, RFIs and timesheets are records, not files: they do not eat into it.

No setup fee and no contract. Monthly cancels any time; yearly is one payment covering twelve months, at two months off.

Is there a free trial?
Seven days, and every trial runs on Pro — Project Pulse, the forecasts, branded reports, PDF and CSV export, all switched on. You judge the real product, not a preview. The plan you pick is what renews on day 8.
Do I need a credit card?
Yes. We run a $0 authorisation to confirm the card is real, which is what keeps the bots out. Nothing is charged during the seven days, and it is one free trial per email address.
Can I cancel?
Any time, from Settings, with a button — no call, no notice period, no contract. Cancel during the trial and you are charged nothing. There is no free tier underneath, so what you built stays where it is, but you cannot add to it until you subscribe.
Can I change plans later?
Moving up applies straight away, and you pay the prorated difference for the rest of the month. Moving down keeps the plan you have paid for until the period ends, then switches. Monthly and yearly swap over at your next renewal, with nothing charged in between.
Do I pay per person, or per job?
Neither — it is one flat price for the account. Solo is a single login, Crew covers 5 people including you, and Pro has no seat count at all. Your clients, architects and inspectors never need an account either: change orders and RFIs go out as links.
What happens if I run out of AI?
AI pauses and the rest of CrewLog carries on. The app shows you the date the allowance resets, and you can add usage for the month from $10 or move up a plan. Nothing is ever charged automatically for going over.
Does it work with no signal?
Yes, on every plan. The report, the photos and the raw voice recording are saved on the phone and upload the moment you have bars. Your job list is mirrored to the phone too, so you can still pick the right job from a basement.
Is my data mine?
Yes. Reports export as PDF and CSV, expenses and contacts as CSV, timesheets for payroll, photos in bulk. Your content is never used to train AI models, and deleting your account erases your data.
